When a user selects any travel service that is out of your company's policy settings, a warning prompt (see pictures below) will show up on the search results and booking page. The warning prompt will include
- a link to the user's applicable policy; and
- reason(s) that this selected service is being identified as out-of-policy
The user is also required to add a remark to explain the out-of-policy selection.
An out-of-policy selection will also be flagged out to approvers in the trip report to ensure that approvers are informed and can examine each case before approving or rejecting the booking.
If the booking request is approved, the user will be notified and can then proceed to make payment to confirm the booking.
If the booking request is rejected, the user will be notified and be asked to modify the booking or look for an alternative. The approver may also include a note to explain why the request was declined or to specify any corrections required to the booking.
